Professionalism is a necessary tool for the success of your Conference, as is preparation, courtesy and understanding of the products and services being showcased.
The purpose of this Exhibit Booth Staffing Guide is to help you remind your Exhibit Booth Staff Members what is expected of them during the Conference.
Timing Is Everything
Set-Up and Take-Down Times usually have a small window to work within. With normal last minute complications, every moment can be precious.
If you are responsible for bringing the Promotional Materials and Give-Aways, allow yourself at least 45 minutes to set-up everything properly.
Your Staff Partners will appreciate the courtesy you offer by being on time if they need to be relieved for a break or to visit the other Exhibitors.
First Impressions Are Important
If your Booth has a uniform dress code, abide by it. Your individuality should be in your
knowledge and personality, not in non-conformity.
If there is no uniform dress code, take your cue from your Company Culture, either
Business Dress or Business Casual.
You may also use the Booth Theme and Design in deciding how to look for the day, again
base this upon your Company Culture. If in doubt, ask your supervisor or manager.
Hair, Make-Up and Jewelry should all be in good taste.
The way you look will affect the first impression of your Booth.
You Are On Stage All Day
Be on your best behavior, but be yourself.
Not only are your Staff Partners and Booth Guests watching you,
but so are your competitors and the other Exhibitors.
It's All In The Attitude
Smile, be personable, be
courteous, and enjoy the day.
You Love Your Job, at least for today.
Everyone Has A Personality
Find their best attribute to respect when dealing with a difficult person. You may notice a change in attitude.
Smile graciously and step away from the Booth Guest who has just been grabbed by your
"outgoing" Staff Partner. Then, when that conversation is finished, let your Staff
Partner know that while you respect his knowledge and ability to "make the sale", you
would appreciate the same opportunity. After all, you are on the same team.
Smile at the brusque old man who is hard of hearing, and repeat yourself slowly and clearly.
He may decide that what you have to say is worth listening to.
Remember that the surly Staff Member may not want to be there, and it is not your
duty to cheer him up - simply remind him that you are glad the two of you are on the same team.
Handle yourself graciously, honorably, and gracefully. Your competitors will be watching,
as well as potential clients. How you handle these situations may actually open the door for future
and positive contacts.
They may not always be what you hope for, but then you are not always at your best either.
Your Personal Goals Are Important
First and foremost, you represent your company today. Your duty is to promote the
services and products of the company, and help to meet the Company Goals for this
event.
The reward is that some of your Personal Goals may be met as well.
Do not let that fact cause you to lose focus of the Company Goals.
Work With Your Professional Attractions
Be prepared. Know what you will say once you are introduced by the Performer. Meet
with him before the first "show" to discuss how the performance will be used to reflect
your Booth Theme and Company Culture. Then decide how you will tie it together with your
individual presentation.
Professional Attraction Entertainment will initially entice Guests to your Booth,
then turn the attention over to you and your Staff Partners.
Everyone Is Important
Show respect and professionalism to everyone you meet.
Do not ignore a potential client because of looks or title. Today's Secretary may be
tomorrow's President, or the wife of the President you truly want to impress.
Offer Your Gifts Gracefully
If they are interested, tell them more about your company. If not, give them your
business card for future reference.
Not everyone wants literature, Take-Aways or a Free Gift. Then there are those who want it all.
Remember - follow up with everyone you meet within 3 business days after the Conference
