The purpose of this Exhibit Room Planning Guide is to help you create and design your Exhibit Room in such a way that all of your Exhibitors feel special, all of your Attendees receive the maximum rewards, and your Organizational Goals achieve the highest impact.
We begin to plan your Exhibit Room by asking a few questions which should lay the groundwork for organizing your event.

When Is Your Exhibit Conference Being Held?
Of course, if you are attached to an on-going Conference, the date and time has already been set.
Most organizations attempt to hold their Annual Trade Show and Conference during the same week each year.
This helps with planning in many areas, for yourself as well as your Exhibitors and Attendees.
Where Is Your Exhibit Conference Being Held?
If your previous Trade Show Conference Site Services were perfect, don't change a thing. If
however, your last Conference was not perfect, now is the time to take total control of this Trade Show Conference.
Again, if you are attached to an on-going Conference, your concern will be "Where is
the Exhibit Room Located within the Conference Site?"
How Many Exhibitors Are You Expecting?
Not only do you need to prepare the sizing and booth space for each Exhibitor, you
will also want to be prepared for the staff members each Exhibitor will be bringing.
How Many Attendees Are You Expecting?
As host of this Trade Show and Exhibit Conference, you will want to use this opportunity
to reinforce the message of your own products and services. Bring enough marketing materials
to give to everyone who is attending, Exhibitors and Attendees alike.
The amount of Attendees expected is a natural selling point to the Exhibitors.
They will also want to plan their promotional strategy: what to hand out and how many.
What Is The Size Of The Exhibit Room?
Your Exhibit Room should be large enough to comfortably hold all of your Exhibitor's
Booths, allow room for the Exhibitors to enter and exit their Booth, and have enough
floor space for the Attendees to visit each Booth without feeling crowded.
What Are Exhibit Conference Goals?
As the host of this Conference, another concern may be to gather other like-minded
companies at one location. Perhaps your organization is about to introduce a revolutionary new breakthrough in your field, now
would be the perfect time to do this.
Naturally, your goals would include exhibiting the products and services of your organization.
What Is The Theme Of Your Exhibit Conference?
If your Conference Theme was "Building a Better Tomorrow with Today's Tools", you may want
the Exhibit Room to follow the theme as "We Have The Tools You Need To Build A Better Tomorrow".
This Theme could be carried out with the design of the room reflecting a "futuristic look" (mylar shiny)
and enlarged tools as off-center pieces.
With each Exhibitor aware of the theme, they may design the Exhibit Booths and Promotional Material
accordingly. Remember, this is also an opportunity for the Attendees to meet potential future partners.
This idea could also be used in designing the actual Exhibit Room.
If you are attached to a Conference, you may want to expand on the original Conference theme.
Trade Shows do have a little more flexibility.

Acknowledge potential peak visitation times, Announcement and Door Prize Drawing
times and Exhibitor Lunch plans. This will help the Exhibitors plan for their own Booth
Staffing and Attractions.
Remember to include the Agenda in the Finalized mail-out packets, so that your
Exhibitors can structure their schedules.
